Work Order Summary

The Work Order Summary on Mobile gives work order details on four screens: Summary, History, Links, and Documents.

The top of the page shows the work order number and name, and the eye icon indicates the number of people watching the work order.

Summary

The top of the Summary screen shows Work Order Status and allows you to a Select Action option.

ClosedSelect Action

Select Action lets you take the following actions on the work order:

  • Add/remove watchers

  • Add part

  • Add technician

  • Cancel work order

  • Complete with no charge

  • Convert to estimate

  • Convert to quote

  • Create linked WO quote

  • Created linked work order

  • Create work request

  • Edit captial/expense status

  • Edit external PO#

  • Edit reported problem

  • Edit work order priority

  • Edit work order script responses

  • Job complete

  • Link part requests

ClosedWorkflow

The Workflow pane lets you view and update information on permits, parts, and travel time.

Work Permit Detail

Work Permit Detail shows comments regarding permits for the work order. Tap Columns to see which fields you can display, including: 

  • Risk: A comment on risk associated with the work permit

  • Risk type: The risk type or category associated with the work permit

  • Level: The level of risk associated with the work permit

  • Permit valid for: The amount time (in hours) the work permit is valid for

  • Description: The description of the work permit

  • Time remaining: The time remaining (in hours) before the work permit is no longer valid

Parts Detail or Parts from Inventory Detail

This pane show the shows the parts that have been added to the work order and let you edit the parts added or add/order new parts. This is labeled as Parts Detail or, if you have the Parts & Inventory module enabled, Parts from Inventory Detail.

Part information includes:

  • Part number

  • Part name

  • Part description

  • UOM: The unit of measurement for the part

  • Quantity: The number of the part added to the work order (based on UOM)

You can take the following actions on parts:

  • Edit parts: Allows you to update parts already added to the work order

  • Add parts: Allows you to add parts already in stock to the work order

  • Order parts: Allows you to order parts for the work order

Travel Time

The Travel Time pane lets you add travel time for the work order as well as Mileage.

PPM Asset Details

This pane shows asset information for work orders that are part of a PPM schedule.

  • Asset number: The unique ID for the asset

  • Operational status: Indicates whether the asset is currently working/operational

  • Asset condition: Indicates the current quality of the asset

  • Category: The asset category for the asset

  • Asset type: The asset type for the asset

  • Manufacturer: The company that made the asset

  • Model: The model name for the asset

  • Location: The physical location of the asset

ClosedInformation

This pane shows general details about the work order.

Work Order Detail

Work Order Detail shows the following:

  • Problem type: The pre-defined problem type (at the category or sub-category level) that the work order is addressing for an asset

  • Floor level : The floor of the building ing which the work order is taking place

  • Department: The department handling the work order

  • Location details: Details about where the work order is taking place

  • Space: The space in which the work order is taking place

  • Priority: The priority level for the work order

  • Operational status: Indicates whether the asset tied to the work order is operational

  • Warranty expiration date

  • Problem description: The issue the work order is meant to resolve

  • Caller

  • Callback #

  • Not to exceed (NTE) - the amount of money the work order is not to exceed

  • Created by

  • Created by role

  • Date created

  • Accept SLA

  • Response SLA

  • Partial Fix SLA

  • Fix SLA

  • Accepted actual date/time

  • Response actual date/time

  • Partial fix actual date/time

  • Fix actual date/time

  • ETA: Estimated date/time of arrival for the technician to arrive at the location of the work order

Asset Detail

This pane shows details about the asset(s) being serviced by the work order. It includes:

  • Category: The category for the asset tied to the work order
  • Subcategory: The subcategory for the asset tied to the work order

  • Asset tag

  • Serial number

  • Model

  • Asset type

  • Problem type : The pre-defined problem type (at the category or sub-category level) that the work order is addressing for an asset

  • Manufacturer

  • Location: The location of the asset

  • Location details: More details about where the asset is

From this pane you can Update WO Asset information or Add New Asset to the work order.

Site Detail

This pane shows details about the site where the work order is taking place, including:

  • Site name: The site where the work order is taking place
  • Description: The description of the site where the work order is taking place

  • Parent organization

  • Site type

  • Address line 1

  • Address line 2

  • City

  • State

  • Postal code

  • Country

  • Phone

  • E-mail

  • Date opened

  • Date refurbished

Provider Detail

This pane shows details about the provider for the work order, including its location and contact information.

Work Order Tags

This pane shows the tags or labels that help categorize the work order, and includes the tag Type and Reason, as well as the user who tagged the work order and Comments on the tag. You can also Add Tag on this pane.

Cost Detail

This pane shows the Not to exceed (NTE) amount and the Approval value for the work order.

History

History shows all events associated with the work order, with the following information:

  • Event: The events associated with the work order, such as Opened, Inbound call, Assigned, and so on

  • Timestamp: The date and time the event took place

  • Performed by: The person who performed the event

  • Comments: Comments about the event added by the person who performed it

Links

Links is a smart table showing all the work orders linked to this one. Tap Columns to see which fields you can display, including: 

  • Work order #: The number for the linked work order

  • Status: The status for the linked work order

  • Date opened: The date the linked work order was opened

  • Reason: The work order reason for the linked work order

  • Provider: The provider for the linked work order

  • Linked by: The person who linked the work order to this one

  • Type: The work order type of the linked work order

  • Asset tag: Asset tags for the linked work order

  • Priority: The priority level for linked the work order

  • Fix due date: The due date for the linked work order

  • Fix overdue: The amount of time overdue the linked work order is

You can take the following actions from this screen:

  • Create linked work order: Creates a new work order that is linked to this one

  • Create work request: Creates a work order request that is linked to this work order, pending approval

  • Link to existing work order: links this work order to one that is already created

Documents

Documents shows all the files attached to the work order, including the following details:

  • File name: The name of the attached document

  • File type: The file type (PDF, JPG, and so on)

  • Date uploaded: The date the file was uploaded to the work order

  • Linked to

  • Asset tag

  • Certificate valid from

  • Certificate valid until

  • Document status

You can also Upload File to add a document to the work order.
